About this policy
Kali Events is a Tanzania-based digital invitation and event guest-management service. This policy describes how personal information is handled when an organizer uses our website or platform, or asks us to support an event.

Information we handle
Depending on how you use Kali Events, information may include:
- Organizer account details, such as name, phone number, email address and sign-in records.
- A NIDA number provided when requesting a team account. We check its 20-digit format and use a keyed hash to prevent duplicate requests; the number itself is encrypted in storage. The format check does not verify identity against NIDA records.
- Event information, including event type, date, venue, invitation wording and selected design.
- Guest details supplied by an organizer, such as names, phone numbers, group or seat assignments, invitation delivery results, RSVP responses, QR pass and check-in status.
- Messages, contribution or pledge details, and payment records where those features are used.
- If you submit a pledge on a public event pledge page, your first name, surname, relationship to the family, and pledged amount are displayed in that event’s public alphabetical pledge list. A phone number is optional and is not displayed publicly.
- Basic technical information needed to secure and operate the website, such as session and error records.
How we use information
We use information to provide the requested event service: create and personalize invitations, send messages, manage guest lists, record RSVPs, issue QR passes, support check-in, send reminders or thank-you messages, provide customer support, secure the platform and maintain service or payment records. We may also use information where needed to meet legal obligations or handle a dispute.
Guest lists and event organizers
The event organizer chooses which guest details to enter, what invitation or update to send and which guests should receive it. Organizers should only upload information they are authorized to use, give guests appropriate information about the invitation, and respect requests to correct or stop using a guest’s contact details.
We use guest-list information to provide the event service requested by the organizer. Organizers and event team members they authorize may see guest information and responses for their event.
How long information is kept
We keep active event information while the service is being delivered. After an event, operational guest data is retained only while it is reasonably needed for reports, support, disputes or agreed follow-up. Account, payment, security and audit records may be kept longer where required for legal, accounting or fraud-prevention purposes. Organizers and guests can ask us to review or delete information that is no longer required.
Your privacy choices and rights
You may ask to know whether we hold your personal information, access it, correct it, request deletion or restriction, object to certain processing, or withdraw consent where consent is the basis for processing. Some requests may be limited by legal obligations or another person’s rights.

Test invitations and messages
If you use Send Test Invite, we use the phone number and name you enter to attempt the sample message you select through SMS and WhatsApp. Only enter your own number or a number whose user has agreed to receive the test. Network or provider delivery may not be immediate or guaranteed.
Security
We use reasonable technical and organizational measures to protect information against unauthorized access, loss or misuse. No online service can guarantee absolute security. Please use a strong password and tell us promptly if you believe an account or guest list has been accessed without permission.
